- Senior Accounting and Finance Manager
Description
Reporting to the EVP/COO, the Senior Finance Manager provides day-to-day management in all aspects of Way to Win's internal fiscal and accounting operations and functions. The Senior Accounting and Finance Manager will be responsible for daily bookkeeping, accounts payable and receivables, assistance with end-of-month close, grant reporting, and other related duties as assigned. This position will work across the organization, and cross-functionally with programmatic, financial, and administrative staff to ensure the fiscal and grant functions are delivered in a timely, effective, and efficient manner.
This position manages complex financial operations while continuously improving systems, processes, and controls to support a high-performing, multi-entity organization.
Core Responsibilities
Financial Operations: Manage Accounting functions for 501(c3), 501(c4) and LLC organizations.
- Ensure efficient functioning and documentation for all financial systems including receipts, disbursements, billing, bookkeeping, budgeting and accounting.
- Manage Accounts Receivable: receive checks, complete A/R log, email or upload to appropriate systems and deposit to the bank for multiple accounting companies. Manage and process all check deposits received to the DC Office.
- Manage all cash disbursements and cash receipts and related processes including preparing journals for posting, coordinating with Advising (fundraising) for donations and donation processing in Salesforce.
- Manage Account Payables: collect receipts, invoices, complete A/P log, email or upload to appropriate systems, employee credit cards, employee reimbursements and external reimbursements.
- Provide reconciliations and reviews of AP transactions and entries as integrated into the general ledger system.
- Handle general ledger transactions (journals, adjusting entries) and reconciliations or reviews to maintain an integrated accounting system and maintain integrity of accounting data.
- Prepare budgets and financial reports for foundation grants and track reporting of foundation project/program budgets and expenditures. Work with the institution's team and management team for timely grant proposals and grant report submissions.
- Manage the financial calendar, including renewals of state tax filings and payroll.
- Handle daily and monthly credit card, A/R and A/P reconciliations in Google Sheets and QuickBooks.Assist with preparation for the monthly
- reconciliation across advising and political departments.
- Update functional allocations monthly for salaries in coordination with the Operations and HR Manager.
- Assist with yearly audit and tax preparation filings.
Grants Management: Manage Grants Revenue for 501 (C3), 501(c4) and LLC organizations.
- Work on grant and revenue management processes and systems, coordinating with the Advising department to ensure revenue is organized and compliant with all grant, funder, and contract requirements.
- Receive and enter grants revenue data i.e grant letters and checks into grants management system and online filing system and ensure integrity of data, in accordance with legal and regulatory requirements as well as with Way to Win’s own processes and requirements.
- Optimizing the grant administration process: ensuring grant proposals and reports are managed through a collaborative process.
- Managing grant timelines and deliverables, including tracking grant applications and reporting deadlines.
Grants Management: Manage Grants Disbursements for 501 (C3), 501(c4) and LLC.
- Track and update grant budgets from the Political and Program teams.
- Manage grant tracker to update budgets vs actual for grant disbursements.
- Work with the external vendor and Senior Director of Finance to schedule wire transfers within the online banking system and communicate payment information and verification to grant recipients.
- Collaborate with the Program and Political Teams on grantee recommendations and review from a grants administration legal compliance perspective.
- Provide links between political, advising, finance, communications, and other administrative functions so that all grantee management activities are smoothly implemented.
PAC and Fiscal Sponsorship Operations
- Manage financial administration for fiscally sponsored organizations and projects.
- Assist external vendor monitoring expenditures, and reconciling financial expenditures. Investigating discrepancies and processing corrective actions.
- Coordinating and providing the first level of oversight in contributions and grantmaking.
- Extracting and compiling data from QuickBooks, the external firm, Salesforce and/or spreadsheets and providing interpretation.
- Managing interdepartmental information systems with PAC information for quick access to information.
We are looking for a ‘doer’ who is excited to see processes and procedures all the way through from beginning to end
- 5-7 years of experience in accounting and/or financial analysis
- Strong knowledge of GAAP and nonprofit financial management.
- Experience managing accounting operations across multiple legal entities.
- Direct experience using platforms such as QuickBooks Online, Bill.com, and GSuite tools such Docs, Sheets, Slides, and Gdrive.
- Experience managing grants accounting and restricted funding.
- Strong experience in grant budgets and accounting processes.
- Knowledge of the principles and practices in vendor contracts.
- Demonstrable expertise in implementing and managing contract compliance.
- Strong written and verbal communication skills with the ability to explain financial information to non-financial audiences.Ability to inspire trust, motivate
- partners to work well together, and design and manage projects in a collaborative manner.
Compensation & Benefits
Salary range: $110,000-$120,000, plus a competitive benefits package including healthcare, retirement, flexible time off, and organizational closures.
